The Contacts book is the firm’s central address book: all contacts – clients, opposing parties, courts, insurers, expert witnesses – across every case, in one place. Contacts you create in a case’s participants also appear here; the contacts book pools them and helps keep the data clean.
Search, create, call
| Element | Function |
|---|---|
| New contact | creates a contact centrally – without going through a case. |
| Search | full-text search across last name, first name, display name, and other fields. |
| Tel 📞 | calls the number directly via the phone integration (click-to-call). |
| Groups | assignment to contact groups (e.g. clients, legal expenses insurers) for quick filtering. |
Merging duplicates
Especially with frequently cited opposing parties – insurers, authorities, recurring opponents – duplicate entries for the same contact easily build up across many cases. Duplicate mode helps clean this up:
- Turn on duplicate mode
It highlights possible duplicates that have arisen across different cases.
- Select contacts
Use the checkboxes to mark two or more entries that refer to the same contact.
- Open Merge
Merge opens a dialog that lays out the fields of all selected contacts side by side.
In the dialog you decide field by field which value is kept – not the whole contact at once:
Each field row shows one contact’s value on the left, the other’s on the right; use the « arrow to copy the right value into the left (remaining) contact. This way you decide field by field – for example which phone number, which display name, or which IBAN ultimately applies – instead of discarding an entire record. When you save, the contacts merge into a single entry; all links to cases are preserved. Use Assign group to add several selected contacts to a group together, without merging them.
Cases of the participant
Open a contact and, below their master data, you’ll see the cases of the participant – all cases in which this contact is listed as a participant:
The three counters New cases, Accepted cases, and Closed cases give you an immediate sense of how present a contact is at your firm – for an insurer you deal with regularly, for instance, that can be several thousand cases. Like other case lists, the table below is filterable and clicking a case number takes you straight to that case.
