This checklist takes you once from registration to your first productive case — phase by phase, with a direct link to the relevant detail page. Work through it once in full, and by the end you’ll have everything essential set up to work with DEPLAW. Not every phase matters equally for every firm — skip what you don’t need (e.g. the Microsoft 365 connection if you don’t use Microsoft 365).

1. Access & your own account

  1. Register & get activated as admin

    Register at app.dep.law; the first account becomes the administrator of your organization. See Login & Access.

  2. Set up two-factor authentication

    Protects your access in addition to your password. See Account Security.

  3. Check your own account details

    Title, name, contact details — see Account Details.

  4. Set up phone integration (optional)

    Connect a SIP softphone to call directly from DEPLAW. See Phone Integration.

2. Firm & team

  1. Fill in firm settings

    Firm name, notification emails, starting point for case numbering. See Firm Settings.

  2. Set up your firm profile/branding

    Your firm's appearance. See Firm Profile.

  3. Activate colleagues

    Add further users as team members. See Team Members.

3. Connect communication channels

  1. Set up email receiving & sending

    Link mailboxes and define the sending route. See Email Receiving and Email Sending.

  2. For Microsoft 365: Azure registration + Microsoft accounts

    Create two app registrations in the Azure portal, then set up the tenant and accounts in DEPLAW. See Microsoft MSAL Setup and Microsoft Accounts.

  3. Connect beA mailboxes

    Set up your SAFE-ID and software certificate. See Setting up beA Mailboxes.

  4. Set up postal dispatch (optional)

    Connect physical letter dispatch via LetterXPress. See Postal Dispatch.

  5. Configure inbox routing (optional)

    Automatically sort incoming messages into the right folders. See Inbox Routing.

4. Templates & documents

  1. Set up your letterhead

    Layout for printed and sent correspondence. See Letterhead & Document Editor.

  2. Create your first text blocks

    Store recurring correspondence as a text block. See Text Blocks.

  3. Set up tag management

    Define consistent hashtags for cases and documents. See Tag Management.

5. Finance & accounting

  1. Set up booking organization + general ledger accounts

    The foundation for all bookings and DATEV export. At minimum, create the general ledger accounts Fees (type commission), Client funds, and Expenses — without them, nothing can be booked yet. See Booking Organization.

  2. Set the invoice number range

    Tied to the letterhead. See Invoice Number Range.

  3. Create invoice templates & line items

    Reusable billing line items. See Invoice Templates.

  4. Connect payment providers (optional)

    Konfipay for automatic bank reconciliation, Mollie for online payments. See Payment Providers.

6. Set up AI/LLM

  1. Create an API key with an LLM provider

    OpenAI, Anthropic (Claude), Google, or Mistral — or your own local model. You'll find direct links to all provider portals in the table under AI Connectors.

  2. Create the "default" connector

    Powers LegalAi in the case context and in the text editor. See AI Connectors.

  3. Build extraction templates (optional)

    Structured data extraction from documents. See LLM Extraction Templates.

7. Your first case & first workflow

  1. Create your first case

    Via New Case in the Case Overview — and you're already right in the middle of the Case File.

  2. Build a small first workflow
