Party data is the heart of every case. DEPLAW manages millions of contacts, checks new entries for possible collisions with existing parties, and reliably detects duplicates – rather than treating every client, opposing party, or legal representative as an isolated record per case.

Knowledge that grows with every case

In mass proceedings, law firms repeatedly encounter the same opposing parties and legal representatives. For this, DEPLAW shows at a glance every previous case involving a given party – including known rulings, lines of argument used, and case outcomes. Individual notes, for example on accepted settlement rates or the opposing side’s preferred venues, can be stored directly on the party and reused via variables in templates. Because this information is centrally visible to all case handlers, team knowledge isn’t lost even when staff change.

Cleaning up duplicates instead of deleting

A party should never simply be deleted – doing so would remove it from every open and closed case in which it is referenced. When DEPLAW detects a possible duplicate, for example because a firm was created twice under a slightly different name or with an old address, the system compares both entries field by field. For every field, a decision is made on which version to keep; DEPLAW then automatically updates the party across all affected cases – with no manual rework needed in each one individually.

AI extraction from incoming submissions

Instead of manually transcribing parties from a submission, DEPLAW reads incoming documents via AI and automatically recognizes the name, address, and role of every party involved. The extracted data is presented for review in a side-by-side comparison before it is saved; if the party is already known, DEPLAW directly suggests the matching link to the existing entry. This extraction step can be fully integrated into the BPMN workflow, where it then runs as a service task with no manual intervention at all.

For recurring opposing parties and their legal representatives, DEPLAW shows at a glance every previous case involving that party – including rulings, lines of argument, and outcomes. Freely configurable notes and variables can be stored directly on the party and reused in templates.

Groups instead of free text

Parties can be grouped, for example all legal expense insurers. In dynamic forms, the client then selects their insurer from a prefilled list instead of typing it as free text — no typos, no accidental duplicates.

Merge instead of delete

Detected duplicates are never deleted, but shown side by side: for every field – name, address, phone, email – the correct version can be selected. After merging, DEPLAW automatically updates the party across all open and closed cases.
