Under Settings → Communication → beA Mailboxes, you set up one or more special electronic lawyer mailboxes (beA). As with email receiving, messages are fetched at regular intervals and stored in the system.
The columns of the overview correspond to the settings for each mailbox: SAFE-ID, system name, the three target folders (failed, success, excluded), fetch confidential messages, the software certificate validity period (valid from / valid until), and receive messages.
Connecting a beA mailbox
+ New mailbox link opens a two-step wizard: first authentication via software certificate, then the mailbox settings.
Preparation: create your own folder in beA
Before you set up the beA mailbox in DEPLAW, first create a dedicated folder in the beA web portal (e.g. “DEPLAW”) and select it in step 2 as the folder to synchronize. Without this step, on its first fetch DEPLAW will pull in all older messages already sitting in the regular inbox.
The folder must be created before the beA account is set up in DEPLAW. Afterwards, move any already-existing, relevant messages into this folder – either automated via the mailbox routing rules in the beA web portal, or by hand (useful, for example, in project work where only certain messages should be taken over).
The same approach also lets you connect shared mailboxes released to the certificate holder (e.g. a firm mailbox or a deputy): create a dedicated folder there too, and in step 2 select the corresponding mailbox under Postbox.
Step 1: beA authentication
To connect a mailbox you need a beA software certificate (issued via the BNotK / beA). After applying for it, it must first be stored/registered in the beA settings. Then you upload it here and enter the associated PIN.
| Field | Meaning |
|---|---|
| Softwarezertifikat auswählen | the beA software certificate (BNotK) that DEPLAW uses to sign in to beA. It must be registered in beA beforehand. |
| Pin | the certificate’s access PIN. |
If something’s wrong, the wizard reports “Softwarezertifikat nicht registriert oder Passwort falsch” (“Software certificate not registered or password incorrect”) – check the certificate registration in beA or the PIN.
Step 2: mailbox settings
Once authentication succeeds, you define the processing:
| Field | Meaning |
|---|---|
| Systemnamen des Posteingangs | internal label (e.g. the mailbox owner). Corresponds to the “system name” column in the overview. |
| Postbox | dropdown selection of the SAFE-ID of the beA mailbox to connect. |
| Zu synchronisierender Ordner | dropdown with the folders that already exist in the beA web portal itself for this mailbox (e.g. “inbox” or a dedicated folder already created there) – determines which folder DEPLAW fetches messages from. Not to be confused with the three target folders below, which DEPLAW populates itself. |
| Fehlerhaft Ordner / Erfolgreich importiert Ordner / Ordner für von der Verarbeitung ausgeschlossene Nachrichten | the three target folders DEPLAW files messages into after processing – depending on whether the import failed, succeeded, or was excluded. |
| Nachrichten abrufen | turns on fetching for this mailbox; all messages in the selected inbox folder are then synchronized. |
| Vertrauliche Nachrichten abrufen | whether messages marked as confidential are fetched as well. |
| Versand erlauben | controls whether this mailbox may also be used to send beA messages from DEPLAW – not just to receive them. |
