Under Settings → Communication → Email Sending, you define which route outgoing emails are sent through. This setting is a prerequisite before any emails can be sent at all. Dispatch runs either through Microsoft or through Brevo.
The two dispatch routes
| Provider | Suited for |
|---|---|
| Microsoft | dispatch through a connected Microsoft 365 account (OAuth/MSAL). Emails go out from the firm’s real mailbox and also end up in its “Sent” folder there. Requires a configured Microsoft account. |
| Brevo | dispatch through a specialized transactional email service. Useful for high volumes (e.g. bulk dispatch in collections/dunning), where deliverability and throughput matter. |
Setting up a dispatch route
Hinzufügen (“Add”) creates a dispatch configuration. The columns of the overview show its key details:
| Field | Meaning |
|---|---|
| Microsoft Benutzer (Systemname) | the sender, or the internal label for the configuration. |
| Provider | Microsoft or Brevo. |
| Standard | marks the dispatch route used when no more specific rule applies. Exactly one entry is the default. |
| Mit Aktenhashtag | an optional hashtag: case files with this hashtag automatically send through exactly this configuration. An entry with a hashtag takes priority over the default route. |
Dispatch templates: default text, attachment splitting & Mail2Fax
While this page sets the dispatch route (provider), the dispatch templates (Settings → Communication → Templates) determine how outgoing emails look by default. Three areas come into play when sending:
| Area | Effect |
|---|---|
| Standardtext | the rich text that pre-fills the message body of every new email (salutation, closing, etc.). |
| Anhang-Aufteilung | above a threshold (MB), large attachments are automatically split across several follow-up emails (including text for those follow-up emails). |
| Mail2Fax | dispatch as a fax through an external service (hand-off email address + fax PIN). |
You’ll find the full description of these templates under Text Templates.
