The mailbox (in the main navigation) is the firm’s central entry and exit point. Everything that comes in or goes out through your connected channels – email, beA, electronic acknowledgments of receipt (eEB), and manually uploaded documents – comes together here and is matched to case files from this point.
View & filters
The header of the mailbox controls what’s displayed:
| Control | Function |
|---|---|
| Eingang / Ausgang / Ein- und Ausgang | filters by direction (incoming/outgoing/both). |
| Unbearbeitet | shows only documents that are not yet matched to a case or otherwise still unprocessed – your control and to-do list. |
| Heute / Gestern / Wochenende & date range | narrow down the received period. |
| Columns | Rubrum & Aktenzeichen (matched case), title, received date, and properties (chips: direction, processing status, channel, status flags). Customizable via manage columns. |
Editing & matching a document
Clicking an entry opens the edit editor: the document preview (PDF, with zoom, page navigation, print/download) on the left, and the matching panel on the right.
In the panel, you match the document and enrich it with metadata:
| Field / tab | Meaning |
|---|---|
| Geben Sie einen Fall an | the case file the document is matched to (case number + case caption). |
| Geben Sie einen Beteiligten an | optionally, the specific party within the case. |
| Titel | the document’s label within the case file. |
| Eingangsdatum | the date it’s filed under. |
| Hashtags | free-form tags (e.g. Abrechnungsschreiben) – also a hook for automations. |
| Berechtigungen | who’s allowed to see the document: Anwalt (attorney), Mandant (client), Werkstatt/Gutachter (shop/expert). This controls, for example, whether a letter is visible in the client case file portal. |
| Fall tab | shows and edits case data directly here. |
| Workflow Aufgaben tab | links the document to open workflow tasks. |
| Neuer Fall tab | creates a new case file directly from the document. |
Batch processing
The panel header – Zurück (back) · Weiter (next, e.g. “1 von 24”) · Speichern / Weiter (save/next) – walks you through all open documents like an assembly line: match, save, automatically open the next one. This lets you work through an entire stack of scanned or received mail in one go, without returning to the list in between.
Automatic matching & dark processing
Many documents don’t need to be matched by hand at all. DEPLAW automatically checks incoming messages and matches them to the right case file:
Once a document is matched automatically, a workflow trigger can immediately set off automated follow-up actions – such as recording a deadline, creating a follow-up, or starting a full workflow. This happens dark (dark processing): no human intervenes from receipt through to the follow-up action.
Manual matching & human oversight
Automation doesn’t replace oversight – it only lightens the load. Everything stays traceable and reversible:
- Documents without a recognizable case number or known address land in the Unbearbeitet filter and wait there for manual matching in the edit editor.
- Even automatically matched documents can be checked and corrected at any time – case, party, title, and permissions can all be changed freely.
- This way, you decide for yourself how much runs “dark” and where a human review stays in the loop.
Submitting & managing documents
- ↑ Hochladen (upload) – manually add a document (e.g. scanned paper mail) to the inbox.
- Stapelverarbeitung (batch processing) – work through multiple documents one after another in the edit editor (also available per row via the ⋮ menu, which also offers delete).
- Alle meine Dokumente entsperren (unlock all my documents) – releases your editing locks. An opened document is locked so that two people can’t edit it at the same time.
